Leadhand help

Get the job done without hunting through menus.

Start with the product overview, then use the short written workflows for the field tasks you will use most.

Product walkthrough

Leadhand from first call to paid

A quick look at booking a customer, keeping the crew informed, building a quote and moving the job through to invoicing.

Quick walkthrough

Create your Leadhand account

Start your account and confirm your email before setting up the business.

  1. 1Enter your name, work email and a unique password on the signup form.
  2. 2If asked to confirm your email, check your inbox and spam folder. Use Resend confirmation email on the confirmation screen if needed.
  3. 3Follow the confirmation link to business setup. If you are blocked, tell support the message shown; never send your password or confirmation link.

Quick walkthrough

Set up your business

Add the business details your customers will see.

  1. 1Enter your business name, with a trading name and business phone if needed.
  2. 2Check the business timezone and choose how you heard about Leadhand, then submit the setup form.
  3. 3You can refine these details in Settings later. If setup fails, contact support with the message shown before creating another account.

Quick walkthrough

Work through a job on site

Keep progress, time and notes on the assigned job.

  1. 1Open the job from your schedule and check the site and work details.
  2. 2Use Start travel and Start on-site as you move through the job.
  3. 3Add notes, checklist updates and photos to the job. Ask your office team if something needs to change outside your access.
  4. 4An owner, admin or office user can finish the work when the customer is absent. On mobile, choose Complete work, then Customer not present, review the reason and choose Confirm work finished. On the web, use the job completion review and No customer signature required.
  5. 5Staff completion and customer acknowledgement are separate. Staff completion does not sign for the customer, create an invoice or record payment. Field staff should ask their office to confirm completion when a customer signature is unavailable.

Quick walkthrough

Create your first job

Keep the customer, site and work together from the start.

  1. 1Open Jobs and choose New booking.
  2. 2Choose a customer or enter their details, then add the site and describe the work.
  3. 3Choose an available arrival window and check the details before creating the booking.

Quick walkthrough

Make a quote for a job

Turn the work you have captured into a quote the customer can review.

  1. 1Open the job, select Money, then choose Add quote.
  2. 2Add pricebook items or custom lines and check the quantities, tax and total.
  3. 3Review the customer details before sending. Creating a draft does not send it.

Quick walkthrough

Invoice completed work

Review the completed job's final invoice and send it without signing in to Gmail.

  1. 1Confirm the work is finished on the job first. An owner, admin or office user can record staff completion when the customer is absent; customer acknowledgement is separate.
  2. 2Open the completed job's Final payment card, in Money on mobile. Review its linked invoices and use Prepare final invoice when offered. If there are no earlier invoices, the draft covers the full accepted quote; earlier deposit or progress invoices reduce the amount left to invoice, even when unpaid. Any unpaid earlier invoice is still owing.
  3. 3Open the linked invoice and check the customer, work, tax and total before sending. Reuse an existing invoice rather than creating a second full invoice. Saving or preparing a draft does not send it or take payment.
  4. 4Use the invoice's send action and choose email on mobile. Leadhand sends invoice email through its delivery service; Gmail sign-in is not required. Separate device email or share actions may require a mail app to be set up.
  5. 5Review the delivery status after sending. If the result is unclear, check it before sending again. For work without an accepted quote, use New invoice and link the job.

Quick walkthrough

Get help with an import

Check the source, columns and preview before importing records.

  1. 1Choose the source and follow the export or connection instructions shown for it.
  2. 2Check column mapping and the preview. Correct the rows or fields identified by validation.
  3. 3If an attempt is blocked, use the guided recovery on the import screen. Repeated failures can be raised with Leadhand from that screen.

Quick walkthrough

Set up your AI receptionist

Make sure it knows your services and how you want calls handled.

  1. 1Open Settings, then AI receptionist when available on your account.
  2. 2Check services, working hours and whether calls should create bookings or callback requests.
  3. 3Check forwarding and the human-transfer destination, if configured, then make a controlled test call before relying on it.

Quick walkthrough

I cannot sign in

Help remains available even when you cannot access your account.

  1. 1Check you are using the email address for your Leadhand account.
  2. 2Use the password-reset option on the sign-in page if needed.
  3. 3If you are still blocked, contact support with your account email and the message shown. Never include your password or a sign-in code.

Quick walkthrough

Plans and what is included

Compare the current plans and any optional extras.

  1. 1Use the pricing page for current plan inclusions and prices.
  2. 2Check any limits or optional add-ons against the work your team needs to do.
  3. 3Ask Leadhand if a particular workflow or migration requirement is unclear before choosing.

Quick walkthrough

Move from another system

Work out what can move across and what needs checking first.

  1. 1Read the migration guide for supported sources and record types.
  2. 2Keep your original exports and check a sample before importing a larger set.
  3. 3Ask us about records or attachments outside the documented scope. Do not assume every part of your old system will transfer.

Quick walkthrough

Change customer arrival windows

The owner or admin can set the default length used for new mobile bookings.

  1. 1On the app, open More, then Customer arrival windows. The owner or admin can choose 30, 60, 90, 120 or 180 minutes.
  2. 2Changing the default affects new bookings. It does not change an existing customer's promised arrival time.
  3. 3Mobile New booking requires an available offered window. That form does not support a one-off custom window or a job with no window. On the web, New job has Arrival from and Arrival window ends fields.

Quick walkthrough

A booking will not save

Check the missing details, selected date and available arrival window.

  1. 1For mobile New booking, add the customer and phone or choose an existing customer. Add the address and job title.
  2. 2Choose a current or future date and an available arrival window. A clashing or past window cannot be selected.
  3. 3Wait for account and schedule checks to load. Multiple-business logins cannot create mobile bookings here. Use the web or review a support request if checks still fail.

Quick walkthrough

Edit a saved draft quote

Reopen a draft to continue working on it before sending.

  1. 1Open the job's Money section and choose the draft quote.
  2. 2Use Edit to review the draft lines and customer presentation.
  3. 3Save your changes before leaving. A draft save does not send a customer message.

Quick walkthrough

Restore a deleted draft quote

Deleted draft quotes can be restored from the job's deleted quotes list when you have access.

  1. 1Open the job and its deleted draft quotes list.
  2. 2Choose the draft and use Restore. If another change prevents restoration, check the current job before retrying.
  3. 3Restoring a draft does not send or approve it. Review its contents before using it.

Quick walkthrough

Check quote activity

Quote activity helps you see saved versions and recorded presentations.

  1. 1Open the quote and its activity or history control.
  2. 2Check the saved version and recorded action you need.
  3. 3A recorded presentation is a staff record. It does not prove customer acceptance or message delivery.

Quick walkthrough

Find a pricebook item

Search the catalogue while editing quote lines.

  1. 1In the quote editor, open the pricebook item picker.
  2. 2Search or choose a category, then select the item and check quantity and price.
  3. 3On the app, More has a pricebook guide. On the web, Settings has the catalogue management screen.

Quick walkthrough

Check time recorded on a job

Use job progress and time history to check the recorded work.

  1. 1On-site coordinates the visit and work timer in the updated app.
  2. 2Check the job's time history before starting another timer or correcting recorded time.
  3. 3If the recorded result is unclear, review a support request. AI help cannot change time entries.

Quick walkthrough

Take and check a job photo

Check the photo is saved on the intended job.

  1. 1Open the job's Photos section, then use the camera or choose a photo.
  2. 2The camera shows shutter feedback in the updated app. Check the resulting photo and upload status.
  3. 3A shutter sound does not prove upload. AI help does not receive photos or attachments.

Quick walkthrough

What AI help can check

AI help can explain reviewed workflows and limited read-only context.

  1. 1With account context enabled, AI help checks arrival settings and the status of a selected job or quote that you can access. It does not receive customer names, job descriptions, photos, prices or record IDs.
  2. 2AI help cannot change settings, jobs, quotes, messages or payments. It can make mistakes; check a guide or ask a person if the answer is uncertain.
  3. 3Questions go to our AI provider. Avoid private records, passwords, codes and card details. Offline guides remain available; AI questions need internet.

You can send a request at any time. Human replies are handled Monday to Friday during Australian business hours; this is not a live chat.
